7 hints and tips for Sage 200 Users

Our expert Sage 200 support and technical staff deal with hundreds of questions a day from clients and prospects. The following 7 hints and tips are unknown to most users but sure to enhance productivity.
 
LONDON - July 10, 2013 - PRLog -- #1 Contextual help by pressing F1

Many of our customers are unaware of the contextual help that can be found by pressing F1 in any of the Sage screens.  If for example you're in the Purchase Ledger Invoice Entry screen and you press F1 you will get information on how to enter an invoice, the outcome of the invoice, as well as links to related content.

#2 The right-click "Find" option

You canfindAccounts/Transactions much easier in the Sage 200 List View dashboards (version dependent) and enquiry screens by using the right-click 'Find' option. This function is sensitive to the column in which you right-click, meaning if you right-click in the 'Account Number' section that is what it will search for by default.

#3 Wild Cards

Wild cardscan be very effective, especially when searching for something where you only know part of the value.  For example, you're in the Purchase Ledger Invoice Entry screen, and you can't recall the exact code of the supplier but you know that the Reference contains "LON" you could type %LON% and press tab to find all codes that contain the text "LON".

#4 Adding invoices to a batch

Invoices from suppliers are usually entered and updated one by one. If there's a data entry error, the user has to reverse the entry and do it again. But if invoices are added to a batch, they can be checked and amended before the batch is updated.

#5 Selecting a range of items

When using the list view, it is possible to select a range of items (Accounts/Orders/etc.) and execute a command using the shortcut banner along the top.  This adds Next/Last/Previous/First buttons to the bottom of the screen that can be cycled through, which can be useful where you need to make bulk amendments to a list of accounts or where you have a batch of transactions to enter. In addition to this, you can run a report based on your selected range.

#6 Audit trail via the accounting system manager list view

The Accounting System Manager list view dashboard provides an Audit Trail of transactions entered in the system. This can be ordered by any of the available columns including URN (Unique Reference Number) which can be extremely helpful if you're unable to find a transaction you've recently entered, or would just like to see the Nominal Ledger effect thereof.

#7 Suspense Account

A posting to yourSuspense Accountis usually a result from a posting made to an account that doesn't exist. The Audit Trail is especially useful when investigating the source of these suspense postings as it will show you the original account number to which the posting was made.

In other words if your suspense account shows a misposting in the Transaction Enquiry screen of £100, you can cross-reference the URN ID of that transaction with the same URN in the Audit Trail to see the Account Number to which the posting was attempted. You can then enter a journal to correct the misposting or, if appropriate, you can then create the new Nominal account and then put through the journal.
