LA HABRA, Calif. - April 26, 2013 - PRLog -- La Habra, CA, April 2013 /ProjectManager/ -- Every project is not the same, some are done perfectly from start to end and some are as dull as the desert. This question was answered by Jennifer Whitt, Director of ProjectManagerLtd. Whitt- Bridges produced and Proctored a what they call, a WhiteBoardSession Video.

ProjectManagerLtd is one of the world’s greatest provider of project management software. They have catered hundreds of thousands of project managers around the world. Twice monthly, they post a what they call, whiteboard session video, these videos help their clients get further tips more than just the software that they sell.

On one of these whiteboard sessions, Whitt – Bridges made a presentation about the 6 best steps to make a perfect project. In this video she said explaind the following“Step number one. Know your project. This is your project and you need to be the expert. So Google becomes your best friend. Why would you Google? It’s for a corporate project. Well, you can Google or research to learn about the topic of your project. Maybe it’s new technology. Maybe it’s new software. Maybe it’s something new in construction. A green project. Whatever the topic is, you can become the expert and know what’s happening in that field.”

“Also, number two, set a vision. People buy into a vision or cause. They don’t necessarily sign up to do tasks. So if you can set a vision that you can get excited about, others will get excited too.” She added, as step 2.

Number three. Create and communicate the project charter. From the initiating phase, the project charter is the main document that is the deliverable of that phase. So it’s great to communicate it to all of the team members so everyone knows the scope, the time, the budget of that project.

Also, get formal sign-offs. If the team is mid-way through the project and people are asking who signed off on that. Show them in the project charter, this will solve all kinds of questions later.

Create a project notebook. Project notebooks are created for several reasons. In literal form. Not only online, but offline. Just like a little notebook with the table of contents, information, and I keep it updated. It’s critical to keep it updated.

Then if someone comes by and asks, it would be easier to look it up, because if everything in the project is found online, looking for something critical may be difficult if the server at work might be down or they’re doing maintenance. “Well if you’re out of the office, people can drop by your desk, pick this up and look.” She added

“And you may say, “Well, my team’s global,” well that’s okay. We keep that offline, right? On your server or internet base? Also, I keep my project notebook on my iPad. I can access information through a drop-box or a corporate server that I can access online, so I can show people if I’m in a meeting. I can access it on my iPad or online if I’m traveling.” Whitt - Bridges added
