Kuester Management Group Shares Tips for Holding HOA Elections

CHARLOTTE, N.C. - Oct. 23, 2024 - PRLog -- While homeowners are gearing up and doing their research for the upcoming presidential election, many are also preparing for HOA elections. Some associations have term limits for board members while other turnover occurs naturally due to personal choice or relocation. In either case, this requires new directors to be elected to fill these roles. Kuester Management Group has released a statement to the press regarding ways the HOA can get ready for the election process.

"The first thing the board should do is check the governing documents," says Bryan Kuester, President of Kuester Management Group. "These materials generally detail exactly how elections should be run, including what is considered quorum, how to handle proxies, deadlines for notifications and ballots, and even whether voting must occur in person or may be done electronically."

The board should ensure that all of these rules are being followed so that the election is valid, says Kuester. Educate homeowners on the entire process, why their vote is important, and how they can cast it. It can be helpful to send out informational packets regarding the positions that are up for election and who is running. Have each candidate fill out a template that explains their qualifications, why they want the position, their goals, etc. so that members can compare the various candidates.

Achieving quorum is essential for the legality of the election, so don't forget to get proxies distributed in advance so that members who are unable to attend the meeting can still make their vote count. Provide clear directions for how to complete a proxy form.

"When it comes to voting, decide whether the HOA is going to require in-person votes, allow for online voting, or a combination of both," says Kuester. "Then verify that the proper security measures are in place so that no one can tamper with the results. Once the poll has closed, the votes should be counted more than once, and by more than one person, to confirm the results are accurate and report on who the new board members are. Remember that everything should be thoroughly documented from who attended to any decisions that were made."
