CHARLOTTE, N.C. - Sept. 24, 2021 - PRLog -- One of the most common complaints that homeowners have about HOAs is lack of communication. Members want to be kept informed about projects, events, meetings, rule changes, and other happenings, and the board has an obligation to provide this information. Kuester Management Group has released a statement to the press regarding different methods for connecting with homeowners and keeping them in the loop.

"The HOA should periodically verify that it has the correct contact information for every homeowner," says Bryan Kuester, President of Kuester Management Group. "People move in and out, change phone numbers, and switch email addresses all the time and may forget to tell the association. Outdated or missing contact information can create gaps in communication."

The association should ensure that its website is up-to-date and contains the latest news and announcements, says Kuester. For more private information, create a members only portal that homeowners must log into in order to view content. This can also be a great place to keep downloadable forms and archived copies of meeting minutes and newsletters for easy reference.

For more urgent messages, email can be a great way to quickly connect. Keep messages short and to the point so homeowners are more likely to read all the way through. Use email thoughtfully and be cautious not to spam members with multiple messages per week. Remind members to double-check their junk or spam folder and designate HOA emails as safe so they don't get overlooked.

"Monthly or quarterly newsletters can be an effective way to share updates and activities as well," says Kuester. "The association can highlight upcoming events or meetings, provide updates on projects, and share tips or reminders. It can be a good place to celebrate accomplishments within the organization and recognize volunteers too."

Social media is another fast and popular way to stay connected, but the association should maintain clear guidelines for what information is posted. Content there may be more general in nature, or the HOA may start a private group for homeowners only. Remember that not everyone uses social media every day, and posts may not always show up first in newsfeeds, so use other forms of communication for important messages.
