Consider Going Paperless for Earth Day

With budgets slashed and restrictions increased for organisations in the UK, paperless offices are the logical solution. Atkinson Lewis is marking Earth Day on 22 April by giving businesses the opportunity to cut down on paper use.

April 20, 2012 - PRLog -- Since the rise of the information age, paper demand has increased.  European paper production has increased an average of 2.5 per cent per year and has been rising since 2000, except 2008 where the economic downturn was to blame.  International demand is expected to grow annually by 2.1 per cent until 2020.  The worst offenders are the Belgians, with the equivalent of 8.51 40-foot trees worth of paper consumed by each member of the population per year, according to The Economist.  Although this is said to be due to the EU headquarters.

Our dependence on paper, i.e. books, typewriters, record keeping among many others, has led our society to become accustomed to hard copies.  For many of us, simply reading information off the screen isn’t convenient enough as it prevents us from transporting information easily – until recently when tablet devices were introduced.

Many offices appear to have the same problem; there’s just not enough space for archiving paperwork. Whether archiving on site or using a document storage facility, the costs involved in keeping records intact for the statutory six year period (for law firms) are astronomical.

Storing paper documents can result in water damage, fire risks, torn or missing pages and even rodent damage.  EDT by Atkinson Lewis allows its members to electronically convert paper documents and store them on a server so that all documents are backed up in the event of a worst case scenario.  Documents can be accessed instantaneously with enough space for spare offices.

According to an Enterprise Search & Retrieval study from Coopers & Lybrand via a YouGov Survey, it is estimated that the cost of filing a single document is a staggering £15 when taking stationery, staff and printing costs in to consideration.  Approximately 3 per cent of all documents are mis-filed and a further 8 per cent are lost completely.

This comes after a report by the ICO revealed that since April last year, they have issued local authorities £1m in penalties for data breaches.  A sure sign of the consequences posed when documents are unprotected.

It has been estimated that professional workers spend 25 per cent of their working time sending, retrieving and archiving documents with outdated processes, costing approximately £11,000 per annum.

Atkinson Lewis Ltd specialises in case management software and services for the family courts.  Time and time again they have discovered the detrimental time and cost effects of distributing paper documents for the legal sector, which has led to the creation of EDT (Electronic Document Transfer) which is available to any business sector.  The software has the highest security level of its kind, coined as more secure than UK online banking systems.  It can safely send and retrieve sensitive information and can only be viewed by the intended recipient, thus eliminating the risk of information falling in to the wrong hands.

Notes to Editors:
Atkinson Lewis
Atkinson Lewis is an organisation that specialises in case management services and software.  We’re a team of specialists, pooled from all the medical and scientific fields that play a role in childcare cases.
Our clinical experts have spent over 15 years helping to establish patterns of substance abuse among parents and potential carers.   And all the while, our admin team has been supporting casework, managing the needs of Courts, Local Authorities, Solicitors and Social Services.
We’re here to save you time and effort – providing all the medical and scientific expertise you need, as well as removing the admin burden. Our complete service includes psychiatric and psychological reports, collection and testing of hair and blood samples, interpretation of lab results and more.  We’ll even provide an expert witness to support your case in Court.
EDT
EDT is a brand new Electronic Document Transfer system by Atkinson Lewis.  With EDT, every file from your client’s case is scanned, encrypted and uploaded to a secure server - then you (only you) control distribution. Confidentiality assured.  Whether you’re sharing legal documents, lab results, Expert Witness reports or entire Court Bundles, it’s a smart, efficient solution that will transform the way you work.
Every Solicitor and Case Manager seems to have the same problem. There’s just not enough space for all those lever arch files that document previous cases. Whether you archive on site or use a document storage facility, there’s a cost to keeping your records intact for the statutory 6-year period.
EDT is a highly encrypted platform for archiving and sharing confidential documents online. Once a document is uploaded, you can share it with people you nominate – safe in the knowledge that no-one else can gain access without your permission.
Of course there’s nothing new about electronic document storage.  But with an EV SSL certificate, and strict document transfer protocols, EDT is the safest way we know to archive and share sensitive information.
It will help you in all kinds of ways:
•              Security – Keep tighter controls, with no risk that documents will fall into the wrong hands.
•              Efficiency – Access current case notes instantly and choose a service level for retrieving archived documents...it’s easier than travelling back and fore to your DX collection point.
•              Cost control – Electronic storage will cost you a fraction of your physical storage costs.
•              Space sharing – A chance to make better use of valuable storage space.
•              Eco-friendly – A more responsible way of working – which could be important for future contracts with your Local Authority.
