A Paperless Payroll Process is Fast Becoming a Reality, Says Payroll Business Solutions

Oct. 27, 2011 - PRLog -- Starter information can easily be fed from a front office or HR system for electronic upload to payroll. Source data including timesheets can be entered online by employees and then validated and authorised electronically by line managers. PAYE notices and reminders including P6/P9/SL1 & SL2 forms are delivered online via the HMRC Data Provisioning Service (DPS). Similarly, P45/P46 starter forms are sent over the Internet to the HMRC Government Gateway.

Trial payroll results including sign off reports can be viewed on-line using any standard browser and approved electronically.

The labourious process of printing and distribution of payslips is replaced by an automated email notifying employees that the payslip is available online for viewing. Printing copy payslips is truly a thing of the past, because the same employee on-line portal gives access to all historical data including copy payslips.

P45 leaver forms are submitted on-line directly to HMRC and all 3rd party payments including those for pensions and salary sacrifice schemes can be sent electronically to BACS payment software. Lastly an electronic journal output can be uploaded directly to the finance system.

At the end of the Tax Year P35 and P14 forms are submitted electronically and since 2011 P60 forms can also be made available electronically. Another simple automated email to all current employees, either with an e-P60 PDF attachment or a message notifying employees that P60s are ready for on-line viewing replaces another time consuming and ultimately costly process.
