Developing an Intranet Strategy for 2015

Intranets like most corporate tools must have a clear strategy.
 
SYDNEY - March 17, 2015 - PRLog -- Strategies can vary from one type of organisation to another. The size of an organisation has an impact too. A small start-up company with a close knit team will have a different approach to a global organisation with over 100,000 employees in many locations. What makes sense for a large manufacturing company won’t necessarily work for a government body or a small business. Differences in purpose (online marketing company, charity or public sector) and complexity (global based in different time zones with many activities) also play a part in determining strategy.

There are however some common factors that you need to apply to help you create a great intranet strategy, no matter what organisation you are in. The strategy needs to cover not only ongoing incremental improvements but also major redevelopments. This is commonly captured via a roadmap for at least the coming 6-12 months.   You need to show what the biggest benefits your intranet provides to your organisation. Show the business functions that have the biggest impact on the success of your intranet strategy. It also needs to show the business functions that are most affected by your intranet strategy.  Having a solid strategy allows the intranet team to plan effectively, allocate resources in the best possible way.  It will also help to build confidence in the intranet and management support which will be handy when the discussion around funding comes up.

Developing an intranet strategy can be daunting, particularly for a large and complex intranet that has suffered for some time. The key is to break the tasks down into steps, starting with an understanding of the current situation, identifying potential opportunities, and then narrowing these down to a practical approach.

A step-by-step guide for creating an intranet strategy and roadmap might look something like this:

· Assess where are you at today? Undertake a staff needs and capture the current key challenges in your organisation.  It would also be useful to do a technical infrastructure analysis and some benchmarking against best practices. Get a really clear picture of today.

· Next look at what is possible, what needs to be done? You can start with wish lists, research what other intranets can do.  Go Blue Sky and challenge the current state.

· Then consolidate. What should you do? Create a vision, set goals and objectives, what are the critical success indicators, rationalise activities to focus on; then you can build your business case and ROI and finally into content management plan and policies.

· It’s all in the delivery!! Deliver what you commit to, this cannot be repeated often enough. Don’t promise the world and deliver excuses. Commit to realistic targets and achieve them, track your progress regularly and don’t forget to celebrate success!!

You need to identify who will have the biggest influence on your strategy and who will be affected the most. They may be the same people! These are your stakeholders who you need to maintain good relationships with for your strategy to a) be implemented and b) have the greatest chance of succeeding. It is also important that you focus on the top priorities so you can achieve the maximum change with the resources you have.

The full potential benefit has more chance of being achieved if you make major changes based on clear business need and the outcome is measurable and agreed by stakeholders.
