NAVI MUMBAI, India - Dec. 30, 2014 - PRLog -- The Information Company Private Limited, a software, design and content solutions provider to some of India’s biggest companies and some abroad, announced today that the United States Patent and Trademark Office has issued a new patent for the company’s directory management system, which helps users manage their directories of files and folders and their emails more efficiently.

The objective behind the creation of the software is to help users to better manage and retrieve files, folders and emails.

According to a company spokesperson, “Surveys around the world have shown that professionals waste as much as a third (or even more) of their time just searching for documents,  and then find little time to actually read the information contained in those documents. People also waste time and other resources downloading files multiple times because they cannot find the ones they have already saved in their machines. And many people waste time writing documents from scratch when they can recycle similar existing documents – only they cannot find those older documents.

“What Organyze does is help people manage their files, folders and emails in a way that they can find what they need very quickly, and save a substantial part of the time they would spend on such wasteful searching or re-creation of documents.”

Besides offering several new ways in which to manage information through existing methods, the system introduces the concept of entirely new types of descriptors (or tags), besides those which people have hitherto got accustomed to using. Unlike the tags (or labels) we are accustomed to using, which only allow an alphanumeric search, the new types of tags proposed in the invention allows users to:

·         search by range of tags based on numerical and financial values,

·         do computations on labels with numerical and financial characteristics,

·         use computations by periods/duration, and

·         set permissions (as in Yes/No).

·         search for information by multiple tags with the AND/OR condition.

Thus, for example, if a user has attached a period type tag to some files, she can search through a period range besides using other means, such as normal, alphanumeric keywords, to find the relevant files. The outcome is a sharp improvement in the search results through a winnowing out of the unwanted. (refining/filtering the search)

Similarly, statistical tags render themselves amenable to statistical computation. In another variation of this type of descriptors are financial tags, which too render themselves amenable to computation.

Some applications identified are:

1.       Analysts can utilize these computational tags for retrieving various companies with certain benchmark profitability levels. Numeric, currency or financial labels can contain information such as net profit; and users can ask the system to show files with labels related to profits inside a range of values or more or less than a certain value entered in the financial labels. Thus, for example, if an analyst marks different scores to various company-related files, folders or emails, and wishes to get a selection of files related to companies with a three-year compound annual growth rate (CAGR) equal to and more (or less) than a desired amount, the present invention will take the numbers entered in financial labels, use the data in them to calculate the CAGRs, and show a list of files related to companies whose CAGR growth matches the desired conditions.

2.      Period labels attached to files may or may not be extracted from the contents of the files to which they are attached (users can attach dates that may not exist in the content of a file); and they can be used to find files inside a range of dates or before or after a certain date

3.      Boolean (Yes/no) labels can be used where permissions are involved, as in the case of an ad agency, which can use a Yes label to photographs or visuals that may be used for future ad campaigns and those that may not be used because they have already been used for a client

4.      A user may also search for files by using a combination of such labels; for example, all files with labels related to a date range where the net profit entered in the labels is within a range of values or more or less than a certain value

5.      The invention allows for multi-part labels to be created, in which one part is a standard alphanumeric description and another part a numeric, period or Boolean label.

The system involves the introduction of descriptors (tags) of different types which allow users to extract content with greater accuracy by improving the relevance of lists of retrieved items.

Organyze 3.1

The company has already incorporated many of these methods in Organyze 3.1, its path-breaking software, a productivity suite designed to help users improve the management of all types of data in their computers and in computer networks through very easy-to-use labelling, commenting and bookmarking, and to find relevant information very fast, including files whose locations they have forgotten and even files they might have forgotten all about.
