Managers at Intelliflo benefit from better data and easier absence management with Cezanne OnDemand

Intelliflo had previously held HR information across a series of systems and spreadsheets but was keen to consolidate all its people-related data in one central place.

After considering a number of systems, they opted for Cezanne OnDemand http://cezannehr.com because it offered the best mix of features, flexibility and ease of use.

Human Resources Manager Susan Stevens explains; “It’s easy to get the data in and easy to get the data out – which hasn’t always been the case with other products I’ve used in the past,” she says.  “It really is very straightforward to run the reports – managers like it and it has very quickly become embedded in the business.”

Managers have also really liked the fact they can have a  ‘calendar view’ of annual leave, which allows them to see how many people are off at any one time and makes the process of managing holiday entitlement much quicker and easier.

One of the features Susan has found particularly helpful is the software’s ability to cope with a variety of working arrangements and corresponding holiday entitlement.  “The majority of people work standard working patterns, but we do have a few anomalies, like one member of staff who works shorter days in the school holidays,” she explained.  “Previously I would have had to adjust the holiday manually and record it separately, but now once the working pattern has been set up, the system just automatically works out the entitlement for you.”

The ‘notifications’ feature that’s included with the system is also helping to streamline HR processes.  “We have been able to set up automatic notifications to remind us when someone’s probation period is up or when someone’s contract is due for renewal, which has been really helpful and has saved us having to make a separate record,” she says.

Intelliflo went live with the system in October last year after an initial introductory training day at Cezanne HR’s office in London.  Cezanne helped with the initial upload of data and also supported Susan, who at the time was the sole HR practitioner in the business, to get the self-service element of the product up and running.

“Cezanne OnDemand has already helped us to cut down on admin and streamline processes and there is so much more to the system that we haven’t even started to use yet,” she says.  “I am hoping that in the future we will be able to use the information it produces to give us a clearer view of things like employee retention and to help us become much more proactive in areas like absence management.”

Intelliflo plans to start using the performance management module of Cezanne OnDemand later this year and will also use the system to record training and development needs. Further ahead, Susan is hoping to use the HR portal to house guidance notes for managers on areas such as the absence management policy and disciplinary procedures.
