The system, installed earlier this year, automates POD scanning, storage and retrieval and has helped the company improve the speed at which PODs are made available to staff at multiple locations across the UK.
The company were sending their delivery notes to an external service provider for scanning but needed a faster and more robust process that would reduce delays in recording delivery notes. In addition, they needed a way of sharing the delivery notes internally and with external customers. To give them greater control of the process they decided to adopt an integrated solution from Datafinity consisting of PSI:Capture for scanning & automated indexing and FileBound for document management.
POD documents can now be viewed, printed and emailed through a web browser by any staff members that have a login and password to the system. Sales invoices are also imported by PSI:Capture, split into individual documents, identified and emailed directly to the customer, eliminating the need for printing, enveloping and posting.
By implementing PSI:Capture for automated data capture and FileBound for storing and managing documents, the company have saved a significant amount of time and money, improved information accuracy and enabled instant access to delivery notes and sales invoices for both internal staff and external customers.
