How to Keep Your ITAM New Year’s Resolutions

Jan. 17, 2013 - PRLog -- The beginning of a New Year presents opportunity for change.  Some of us form a list of New Year’s resolutions of things we would like to change or improve in our lives.  If you could choose the most important aspects of your IT Asset Management program to improve, what would they be?  Here are some ideas based on conversations with IT Asset Management professionals and existing industry challenges.

Process

IT Asset Management begins with processes that are well-defined, clearly understood and followed.  Processes for managing each stage of the IT asset lifecycle, utilizing tools, gathering output from discovery and license management solutions, reconciling license deployments with entitlements, preparing for and managing audits and contract negotiations are all critical to the success of your ITAM program.  If these processes break down along the way, this could impact your organization’s productivity and financial health.  Therefore, an important New Year’s resolution is to establish well-defined processes and make sure they are communicated to and followed by all participating parties within your organization.

Information

Having access to accurate IT asset information is the output of an effective IT Asset Management program.  It is this information that enables organizations to make well-informed business decisions about managing and optimizing their IT assets.  Another New Year’s resolution is to ensure that the combination of people, process and tools within your IT Asset Management program are generating accurate information on your IT assets in real-time.

Compliance

Many organizations struggle with knowing their compliance position with their leading software suppliers.  This can be a result of the combination of a lack of understanding of software licensing models, metrics and “gotchas” as well as access to accurate IT asset information.  The New Year’s resolution here is to ensure that your ITAM license analysts understand the licensing metrics and nuances of your software publishers and that they keep up-to-date on any changes that will impact your organization’s compliance position.

Negotiation

How can companies place themselves in a more advantageous position when it comes to contract negotiations?  The first step is to know your compliance position:  Have you used all the software that you are entitled to within the contract terms or are there unused licenses, still on the shelf?  Once this position is known, then the organization must put experienced contract negotiators in place who can understand both the organization and supplier perspectives to be able to establish favorable terms and conditions moving forward.  The New Year’s resolution here is to ensure that preparation begins well in advance of the scheduled date and that contract negotiation experts are there to lead and manage the negotiations.
