Results from a new study by technology blog DigitalOlympus.com show that business printers built with smart document processing in mind hold the key to realizing energy savings and cutting operating costs in the workplace. The study took into account the efficiency of networked printing equipment which regulate power consumption according to activity levels while also managing printing jobs to save ink and paper use.

Smart document processing is all about saving on energy consumption and making sure that printed documents are available as and at when needed. In many modern business complexes, many offices on the same floor are served by a single network printer. This means that this printer may have to be in operation every hour of every business day. Apart from scheduled maintenance to ensure that it keeps running as required, several energy use questions are raised.

Such a machine will no doubt waste energy when it remains on during idle periods. Printers with smart eco-friendly technology fix this by including sensors that detect periods of low or zero activity. During such periods, the eco-friendly printers will generally ‘sleep’ until the next job arrives, saving power and reducing the energy bill.

Beyond saving power, smart document processing also has to do with print job management; all jobs sent to the network printer do not have the same volume or priority. Some are needed right now and others may be required in an hour or by closing time. A smart printer will be able to fetch this information from users and regulate its printing activities accordingly to save printing ink and energy in real time.

By first identifying the priority of the print jobs on the queue, the smart printer can create an ‘active queue’ and a ‘passive queue’ with print jobs that are needed right away or at a later time respectively. The printer can then go on to sort jobs out by volume, ensuring that printing paper and ink are used as effectively as possible.

Many corporate printers used for flyer printing (http://www.4over4.com/printing/flyer-printing), vinyl banners (http://www.4over4.com/printing/vinyl-banners) printing, large format printing (http://www.4over4.com/printing/large-format-printing), poster printing (http://www.4over4.com/printing/poster-printing) and other corporate printing services (http://www.4over4.com/) are equipped with smart document processing technology.

“Smart document processing saves energy and costs for businesses, while also improving internal efficiency and making critical documents available as and at when needed,” says a study collaborator.
