According to Alila Diwa senior executives, the company was in search for a strategic suite of solutions that could help reinforce their back-end operations, which included inventory management, payables and receivables management and accounting functions. Also, the hotel expressed their need for a fully reliable ERP solution that could help bridge the gap between the front end functions with the back end operations and introduce positive results for the hotel's operations.
Taking all their requirements into consideration and getting a better understanding of the hotel’s operations, Sage recommended the installation of Sage Accpac, which offered strategic features like the ability to support multiple currencies, the presence of a strong reporting tool and its tight integration with other business applications like property management software. The adoption of the new system was implemented by Greytrix, the India-based implementation partner of Sage Software. Alila integrated a 10 user pack of Sage Accpac 100 with General Ledger, Accounts Payable & Receivable, Bank Reconciliation, Systems Manager, Inventory Module, TDS module and Purchase Order modules, to create the ultimate ERP platform that integrates seamlessly with Alila’s existing front end software applications.
The implementation has strengthened various aspects of the hotel’s operations and has also keyed in more efficiencies from the employees, easily learning to use the new system. One of the foremost features include a more integrated and effective way of handling the ingress and egress of materials into the hotel, which not only kept close tabs on all materials used by the hotel but also helped Alila make sound purchase decisions that have translated to huge savings. The new system allowed the maintenance of accurate records of what has been billed by the front desk in the case of individual corporate customers and ensures that it is included in the invoice generated for that period for the respective corporate clients. Sage Accpac has also given the advantage of keeping track of all its vendors along with the volume and frequency of orders placed, thereby prompting hotel management to make better purchase decisions. Lastly, one of the main highlights of using the integrated suite of solutions is the ability to easily create reports that integrates input from all concerned departments of the hotel through the included Excel based tool, Financial Reporter.
