Wayne Memorial Hospital Selects Electronic Forms Software from Access to Integrate e-Forms into EHRs

North Carolina facility will replace pre-printed forms with e-forms on demand, paperlessly interface EKG and fetal monitor output into Meditech EMRs and speed registration, clinical, HR and financial processes with automated workflow.

July 7, 2011 - PRLog -- Wayne Memorial Hospital, an innovative facility in Goldsboro, N.C, is committed to improving efficiency, patient care and safety and reducing costs with its “Pathway to Paperless” initiative.

Administrators realized that continuing to rely on pre-printed paper forms would hamper the progress of this plan, and that an enterprise electronic forms (e-forms) system was needed.

HIM Director Phyllis Dreading and a cross-department forms committee evaluated multiple products and vendors, and settled on the Enterprise Forms Management suite from Access, the world's leading provider of electronic forms management, automation and workflow software.

“Access offered more technically advanced products than their competitors,” Dreading said.

“They also were very responsive to our specific needs – for example, we told them that we needed to get fetal and EKG monitor output into EHRs without scanning, and they came back with the Access Universal Document Portal solution very quickly.”

As part of Wayne Memorial's e-forms project, registration clerks will use Access Intelligent Forms Suite (IFS) to dynamically generate admissions packets customized to individual patients, with barcodes and demographics applied using data intelligently mapped from the Meditech HIS. Access IFS replaces pre-printed paper forms with e-forms on demand.

Once a patient has completed the e-forms, they will sign and authorize the packet with Access e-Signature via an electronic signature pad. Access e-Signature eliminates the need to print any form that requires a signature, creating an end-to-end green solution for the enterprise. The product also simplifies compliance audits, the satisfaction of release of information and e-Discovery requests and supports ARRA and FTC requirements.

The forms will then be natively integrated with the patient's electronic health record (EHR) via seamless integration between Access Image Portal and Meditech Scanning and Archiving (SCA).

“Access Intelligent Forms Suite, e-Signature and Image Portal will enable us to get electronic patient forms into Meditech SCA without scanning or manually indexing forms,” Dreading said. “We hope to reduce scanning by up to 80 percent in the next 18 months, and Access products will play a big part in that.”

Wayne Memorial will also use Access Evolution, the world's most sophisticated online forms and workflow suite, in human resources (HR) and purchasing. Evolution replaces any paper-driven process with secure online forms, and integrates archived versions into any enterprise content management (ECM) system.

With Evolution, employees log into a secure online portal and select a form or packet, such as for new hire onboarding. Evolution securely and intelligently maps data onto the forms, and enables users to add attachments with one click.

Upon submission, the forms are automatically routed through paperless workflow for approval via digital signature, and Evolution automatically updates the Enterprise Resource Planning (ERP) system with real-time data, via native web services integration.

“Access Evolution will help us advance our Pathway to Paperless initiative and greatly improve efficiency,” Dreading said.

Wayne Memorial is also planning to roll out Access Logical Ink (ALI), a tablet-based clinical documentation solution, to its physicians.
