WA DotAG See Clear Results in MINCOR Implementation

Six months after going live with Bay Technologies’ Ministerial Correspondence Tracking Software – MINCOR, the Western Australian Department of the Attorney General have been able to identify clear improvements in their correspondence processing.

Oct. 14, 2011 - PRLog -- The department, which went live with MINCOR in September of 2010, receives around 3000 ministerial letters each year and is solely responsible for provision of high quality and accessible justice, legal, registry, guardianship and trustee services to meet the needs of the community and the Western Australian Government.

The implementation of MINCOR has allowed them to better track the department’s correspondence and achieve vast reductions in processing effort and the number of items being completed late.

Before implementing MINCOR the department took longer than their agreed timeframe to process around seventy-five (75%) of their correspondence, this meant only (25%) of responses were being completed on-time. Since the introduction of MINCOR the number of overdue items has been reduced down to around five percent (5%), with ninety-five percent (95%) of items being completed on-time or early. The system has also drastically reduced a reliance on reporting and less effort is needed to identify any overdue items for completion.

There has also been a fifty percent (50%) reduction in the allocation of resources to complete correspondence in the Ministerial Liaison Unit. This freeing up of resources has allowed a focus on activities, where this was previously not possible.

MINCOR has allowed the department to achieve this and maintain compliance with all relevant Records Management policies, using Bay’s Document Management Interface. This provides integration between MINCOR and the departmental Electronic Document and Records Management System.
