March 29, 2011 - PRLog -- In the age of email, it was supposed to be easy to cut down on paper. No need to send faxes or letters, when everything can be sent to clients, customers and colleagues electronically. Yet somehow that dream of a paperless office hasn’t quite materialised. People still need to print hard copies if the document has to be signed. Contracts and agreements will still usually be sent in paper form as it’s the only way to ensure the signature is genuine. Any office you go into these days is still likely to have rows and rows of document boxes containing everything from invoices to staff files, all of which are essential in the average working day.
The amount of paper wasted can still be kept under control however. Not everything needs to be printed, and office staff should be encouraged to read information on screen as much as possible. If something has to be printed, make sure you recycle it if it’s no longer being used. Encourage staff to print on both sides of paper where possible, reusing the paper they have already printed on. Keeping on top of your filing system will also help everyone to see easily what you need to keep and what can be recycled. It is just as bad for your business as it is for the environment to let people store piles of messy papers on their desks! These days, most people are highly aware of the need to protect the environment. It makes good sense for companies to be seen to do so. Staff will usually be keen to help once made aware of simple procedures they can make a habit of in their daily working lives.
Of course, what can’t be recycled or reused are those documents your business needs to keep on file. Some will be those you are legally required to produce on request. Keeping everything in clearly labelled document boxes not only prevents mess but gives you peace of mind. You can also avoid printing lost items more than once if everything is neatly stored in document boxes. “We have a range of document boxes which will help keep your office tidy and in perfect order. Log on today to start storing your documents safely at unbeatable prices,” says Spokesman of Bernard’s Bins Bernard Jones.
Recycling what you don’t need and putting in order what you do is only the beginning. Put in place regular checks so you can shred confidential documents and recycle the others as they become out of date. Having a regular day every month where staff have to tidy up is useful to keep your house in order as well as to make them aware of how much paper they are generating. Get them to create three piles, one for recycling and one for reusing, and the other to store those documents you need to keep in document boxes. Above all, try to reduce the paper you use as much as you can.
