Outsource Web Mining: Content Management Systems (CMS), Key Aspects

With the pressures of collating data, organizations outsource the data entry component to vendors. Employing a large number of people to enter data into their CMS, for an organization in the US, would prove very expensive, compared to the same work being undertaken by a vendor in India. Since the CMSs are online collaborative efforts country-wide is pretty easy. There are several precautions which the organization should take to ensure proper updations to the CMS are done.

Define Clear Rules for Each Field
A project which we are working on requires us to capture content from the websites of various colleges. A team of operators visit college websites and pick out information like the course, no. of seats, fees charged, faculty details along with college contact etc. The project started with the client not defining any rules for the entry process. After working on the project for a few days the client found that the work was not consistent across all the operators. We came up with a list of rules for each field and had the client go through them and approve the same. All operators were provided a copy of the rules and started entering data as per the rules. The quality of data immediately improved and became consistent across all fields in the CMS.

Timely Quality Checks
One of the key precautions should be timely quality checks. When we say timely it means quality checks should be undertaken on a daily basis on the data submitted the previous day. This is more so true for content which has been gleaned from public websites. Most websites are dynamic nowadays with content being updated quite regularly.

In this project where we collect college information and enter into the client’s CMS, the client has a quality assurance team. The QA team checks the data submitted by our team for each college. But the process followed by them was not synchronized with our submissions. Situations would arise where the QA team would have about a month’s submissions in back-log. When after a month they did manage to start checking data it was found that there was missing content or data not matching in some fields. Initially it was attributed by the QA team to an operator error!

We had to convince them that in the intervening period since when the QA team checked the data and the submission, the websites had been updated. This meant we had to go back and update the data in the CMS according to the current website. The QA team then synchronized their checking with our team’s submissions. Data which was submitted by the operators was checked the next day by the QA team. The QA team never found any missing content. The project is being implemented successfully.
