Opolis Secure Mail Used to Prevent Board Room Leaks

Over the last two weeks, several publicly listed companies and foundations have used Opolis for the first time to distribute confidential Board Meeting documents.

April 28, 2010 - PRLog -- Among them, two of these entities - both domiciled in Brazil and listed on the Sao Paulo Stock Exchange - had previously experienced a serious issue with the leakage of confidential papers and documents to the press prior to a board meeting. Despite the fact that the breach had no immediate visible effect on the share price of the respective entities, the Executive Board wanted to absolutely ensure that such a leakage will not happen again.

“The issue for us was how to most efficiently distribute huge volumes and files efficiently and safely to our 15 members of the Supervisory Board”, said one CEO, “whereby we wanted to ensure that information is not leaked to the press prior to our ad-hoc announcements to the Stock Exchange”. Hence, documents should be distributed electronically, whereby in the past the Company faced the difficulty that files exceeding 15MB could often not be sent amid file size. The CEO was also aware of the fact that any repetition of a misuse of confidential documents would trigger a serious investigation by the authorities.

“Opolis was then worth a try”, said the CEO. “We knew the key individuals personally for a long time and so told them: OK, we´ll give it a try”. That Opolis is for free was not key in using it, instead that documents could be distributed point-to-point in encrypted mode. “Further”, the CEO continues, “we liked the idea that we could forbid recipients of the Emails to either forward or copy them. Instead, we were now in a position to monitor how each recipient further processed the electronic mails, such as whether or how often attachments were printed. – And then any print-out of an Opolis message would have a QR Code attached, so you could track back each page to the individual who printed it, if required”. – Not that any of these Opolis features were needed this time; the members of the Board knew why …
