Vista Solutions Group Partners with CJS to Provide Electronic Return Receipt Interface for Hand

Sept. 4, 2009 - PRLog -- Vista Solutions Group partners with CourtView to offer the Clerk of Court of Rocky River Municipal Court in Ohio the ability capture and manage certified mail electronically.  With this new capability, Rocky River Municipal Court has realized dramatic increases in the efficiency of the Clerk’s Office in addition to the cost savings associated with mailing.  Beginning in April of 2009, Rocky River Municipal Court has been importing certified mail receipts with no incidents.

Deborah F. Comery, the Clerk of Rocky River Municipal Court states: “With the electronic processing of certified mail, green card handling and processing is eliminated and certified mailing costs are dramatically reduced.  Hundreds of records are processed in minutes giving clerks, bailiffs, and judges instant access to accurate information.”  

Michael J. Bracken, Systems Administrator at Rocky River Municipal Court, states: “This interface gives the court a complete cycle, from beginning to end, for each individual piece of certified mail.  Judges, bailiffs, and clerks can inquiry by case and party as to the type of service and the results of the service.  The movement of any piece of mail can be tracked, from arrival at USPS, to delivery and all delivery attempts in between.  This includes: Attempted/Left Notice, Forwarded, Undeliverable as Addressed, and Refused, among others.”  

Each certified mail returned receipt is captured, imported into the netDMS solutions for indexing, and converted into an unalterable image file.  Victor Jauregui, Vista Solutions Group Vice President, notes: “Providing Rocky River Municipal Court the ability to capture and manage certified mail allows the Clerk to operate more efficiently in the office while preserving the ability to produce paper when and where needed.”
